After the Joint Study Application

I was awarded mobility at my secondary preference. Do I now have to resubmit the letter of motivation and all application documents?

No, Only your equivalence list must be revised and re-approved  by the Dean of Studies before departure.

I submitted my application 3 weeks ago and have not received any result yet.

Please be patient a little longer. Usually 2 weeks after the application deadline the meeting of the Study Abroad Advisory Board takes place. Within 10 days after the meeting you should receive your result. If any follow-up questions were still necessary, it may be that the result can only be communicated a little later. We ask for your patience in these cases.

I have received the result of my Joint Study application. What do I have to do now?

Please fill out the Declaration of Acceptance (Annahmeerklärung), which you received together with the letter of acceptance (Zuerkennungsbrief) by e-mail or which can be viewed on Mobility Online, and upload it to Mobility Online. Your Joint Study Coordinator will nominate you to the partner university in due time. Within 2 weeks after the nomination deadline, you should receive information about the registration procedure at the partner university to the e-mail address you provided with your application. Usually the deadline for registration is about 1 month after the nomination deadline. Please note that you must have organized all necessary documents and proofs for an admission at the partner university (e.g. language test result) by then.


After nomination to the host institution / application to the host institution

Due to a postponement of my stay, I have to upload the declaration of acceptance again in Mobility Online. Unfortunately, I'm no longer able to change this. What can I do?

Please send this by email to your BOKU Joint Study Coordinator. 

I have already completed the registration at the partner university a few weeks ago and still haven't received any further information. What can I do?

As some universities send their original documents to BOKU-International Relations, this may take some time. Your BOKU Joint Study Coordinator will inform you immediately if you receive any mail. If you have not received any further information for a while, please reach out to your Joinst Study Coordinator.

I need to change my course selection for my stay at the partner university. Is it enough to get an "OK" by email from the Departmental coordinator(Fachkoordinator*in) for the changes?

Yes, changes to the already approved equivalence list (important: signature of both Departmental coordinator(Fachkoordinator*in) and dean of studies must be present and mobility period and host institution must be correct) - If your stay has changed, e.g. postponement of the stay and re-nomination of the host institution, the equivalence list must be approved and signed again by the departmental coordinator and dean of studies before departure. 


Before departure

When is the Joint Study grant paid out?

The payment of the Joint Study Grant will be commissioned a few weeks before the start of the mobility. Please contact us if the grant has not arrived after the first month of your stay.

My bank details have changed, what should I do?

Please fill in the acceptance form again, which you received from the Joint Study Coordinator after the acceptance of the JS place, with the changes and send it to jointstudy(a)boku.ac.at.
